Obliged entities have to collect customer due diligence data, keep it current, and produce it on request. Most small firms do this with a Word questionnaire, a mailbox, and patience. It works until the supervisor asks for a sample, or until the fortieth customer sends back a photo of a printed page.

They sign the declaration they are making

At the end of the form the customer draws a signature, names the person authorised to declare on the company's behalf and their role, and confirms the information is true, accurate and complete. The form will not submit until they do.

Frequently asked questions

Does KYCEasy run sanctions or PEP checks?
No. KYCEasy collects the customer's declarations and documents and produces the KYC file. Screening against sanctions lists, PEP databases or adverse media stays with your existing provider or the registers you already check. The two work side by side: KYCEasy gives you structured data to screen against.
Is this self-service, or do you set it up for us?
Both are possible, and we recommend starting with a call. The product is young, and the fastest route to a working setup is for us to rebuild your current questionnaire and document with you. Existing customers sign in as usual.
Can I use the questionnaire we already have?
Yes. Most firms start by rebuilding their current Word or PDF form as sections in the form builder, attach the documents the customer has to approve, then drop the questions that never get answered and add the ones the supervisor keeps asking about.
What does my customer see?
A link, a form in sections, and a signature at the end. No account to create, nothing to download, nothing to print. It works on a phone, in English, Estonian or Czech. When they submit, their answers appear in their record in your register.
Can it fill the PDF forms we already use?
Yes. Submitted answers can generate a document or fill an editable PDF you already have, so the file you keep looks like the file you kept before. That removes the retyping step, which is where most of the errors come from.
Which rules does this help us follow?
KYCEasy helps with the customer due diligence obligations under EU anti-money-laundering rules and the national acts that implement them: collecting identity and beneficial-ownership data, recording PEP status and source of funds, and keeping the documentation available for the supervisor. Regulation (EU) 2024/1624 applies from 10 July 2027.
Where is our customers' data stored?
KYCEasy is operated by Actual Reports OÜ, an Estonian company. We set out the hosting region, the subprocessors and the data processing agreement in writing before you send your first form, so your own vendor review has something to work from.
What does it cost?
Pricing depends on how many customers you collect KYC from. We agree it on the call, after you have seen your own questionnaire running in KYCEasy, so the number is based on your real volume rather than a guess.
